Privacy Policy

This Privacy Policy explains how ListPrep ("ListPrep," "we," "us," or "our") collects, uses, and shares information through the ListPrep platform (the "Service"), used by real estate brokerages, their agents and staff, and the home sellers those agents share progress with.

1. Information We Collect

Account information

When your organization creates or invites you to a ListPrep account, we collect your name, email address, and role (e.g., organization admin, location manager, or agent), along with your organization and location assignment.

Listing and checklist content

We store the listing details, checklist items, task notes, and photos that agents and staff create in the Service. Photos are stored in our file storage provider and associated with the relevant checklist, listing, or profile.

AI-assisted checklist creation

One feature lets agents describe a walkthrough by typing or using their device's built-in voice input. If voice input is used, the audio-to-text transcription happens in your browser (via its built-in speech recognition) — we do not receive or store audio recordings. The resulting text description is sent to the Anthropic API to be structured into suggested checklist items, which you then review and edit before anything is saved.

Seller-facing pages

Sellers accessing a branded share link do not create an account and are not asked for personal information by the Service. The page they see is generated from the checklist your organization already created; we log access to the share link (e.g., timestamp and IP address) to protect against abuse of the link.

Usage and log data

Like most web services, we automatically collect limited technical information when you use the Service — such as IP address, browser type, device information, and timestamps of requests. We use this to operate the Service reliably, secure it against abuse (for example, rate-limiting repeated requests to invite and share-link endpoints), and diagnose problems.

Cookies

We use a small number of essential cookies set by our authentication provider to keep you signed in and to maintain your session. We do not use advertising or cross-site tracking cookies.

2. How We Use Information

• To provide, maintain, and secure the Service, including enforcing that each organization can only see its own data;
• To authenticate accounts and enforce role-based permissions;
• To generate the AI-assisted checklist suggestions described above;
• To generate and serve branded seller share pages and PDF exports of checklists;
• To communicate with organization administrators about their account or the Service;
• To detect, investigate, and prevent abuse, fraud, or security incidents;
• To comply with legal obligations.

We do not sell personal information, and we do not use listing or checklist content to train third-party AI models.

3. How We Share Information

We share information only as needed to operate the Service:

• Within your organization — account, listing, and checklist data is visible to other members of your organization according to their role (for example, an organization admin can see data across locations; an agent generally sees their own listings).
• Infrastructure providers — we use Supabase to host our database, handle authentication, and store uploaded photos, and a cloud hosting provider to run the application itself. These providers process data on our behalf and are not permitted to use it for their own purposes.
• AI processing — text describing a walkthrough (not audio) is sent to Anthropic's API solely to generate suggested checklist items, as described above.
• Sellers, via share links — the checklist progress an agent chooses to share is visible to anyone with the unique link, as described in Section 1.
• Legal and safety — if required to comply with law, legal process, or to protect the rights, property, or safety of ListPrep, our users, or others.
• Business transfers — if ListPrep is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

4. Data Retention

We retain account, listing, and checklist data for as long as your organization has an active account, and for a reasonable period afterward to allow for account recovery, comply with legal obligations, and resolve disputes. An organization administrator can request deletion of their organization's data by contacting us; some information may be retained where required by law or for legitimate business records (such as billing history).

5. Data Security

Access to data within the Service is enforced at the database level, so an organization's data is only reachable by members of that organization with the appropriate role — not just by application-level checks. Elevated, credential-based access used for specific server-side operations (such as processing invite links or serving seller share pages) is restricted to those narrow purposes and is never exposed to the browser. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Your Choices and Rights

If you have an account, you can review and update your profile information from within the Service. Depending on where you live, you may have additional rights over your personal information, such as the right to request access to, correction of, or deletion of it. To make such a request, contact us at legal@listprep.app. Because ListPrep is provided to you through your organization, some requests (for example, deleting content your organization owns) may need to be directed to or confirmed by your organization's administrator.

7. Children's Privacy

The Service is intended for business use by real estate professionals and their clients and is not directed to, and should not be used by, anyone under the age of 18.

8. International Users

The Service is operated from, and data is stored in, the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify organization administrators.
